Within 250 miles

Standard round-trip ground mileage is included for venues within 250 one-way driving miles of the agreed base. Required overnight stays, parking, tolls, and venue fees are disclosed separately.

251–500 miles

Driving is $0.85 per round-trip mile beyond the included allowance: 2 × (one-way miles − 250) × $0.85. A venue 350 miles away adds $170 in mileage; 500 miles adds $425. These examples exclude approved lodging and other expenses.

501–1,500 miles

We compare practical driving, economy flights, and coach rail. Driving follows the same excess-mile formula. Air or rail is quoted at the approved fare plus required equipment baggage and local transportation. We never add long-distance mileage for the same leg already covered by an air or rail fare.

Overnight and travel-only time

• Lodging: approved actual room cost including taxes; $175 per room/night is a planning allowance, not a fixed hotel rate.
• Required overnight meals: up to $60 per crew member/day, reduced for meals provided by the event.
• Separate travel-only days: $250 per crew member for a full day or $125 for a half day, agreed in advance. No extra travel-day fee on a day already paid as coverage.
• Parking, tolls, equipment baggage, venue access, and required ground transportation are itemized. Personal-vehicle mileage already includes fuel.

How distance is measured

We use the shortest practical one-way driving route from your agreed Detroit or Durham base to the venue, including when evaluating air or rail options. Multiple venues and multi-day travel receive a custom itinerary. Projects beyond 1,500 miles require separate review.

Coverage fees and travel are shown separately. Availability, fares, crew size, and required arrival time can affect the final quote. Your written agreement confirms itinerary changes and cancellation terms before travel is purchased.
